From quote to receipt: your first documents

The order of documents in the Ledger, from a quote and a payment request to the receipt, and why the receipt is the one that counts.

Updated 2026-10-17

The order

  1. Quote: the price you offer. No tax meaning.
  2. Payment request (דרישת תשלום): asks for the money. No tax meaning either.
  3. Receipt, or for an עוסק מורשה a tax invoice/receipt: issued when the money arrives. This is the document that counts as income.

You skip steps you do not need. A client who already paid gets a receipt straight away.

Make a payment request

  1. Click Create new, then Payment Request.
  2. Pick the client or add a new one. Add the lines: a service from Services, or free text, quantity and price.
  3. Tick the payment methods to show.
  4. Click Save and finalize. Finalizing gives it a number and locks it.
  5. Send it: by email from the document page, or with the WhatsApp button, or download the PDF.

When the money arrives

  1. Open the payment request. In the list it has a Record payment button.
  2. Fill in how and when the client paid, and the amount.
  3. Confirm. The Ledger issues the receipt, numbered and signed, and links it to the request.
  4. Send the receipt the same way.

Mistakes

  • Before you send: Cancel on the document page.
  • After you send: a final document never changes. Open the receipt and click Issue credit for all or part of it.

Recurring

For a monthly retainer, Income > Recurring issues a payment request or a receipt every month, and sends it if you choose Issue and send automatically.
